We’re looking for a highly organized and proactive Executive Assistant to directly support our CEO at ITQuarks. As we continue to scale rapidly across AI, optimization, and custom software, you’ll play a key role in keeping operations focused, priorities aligned, and the CEO’s time optimized for strategy and growth.
This role is ideal for someone who thrives in fast-paced environments, loves problem-solving, and has experience working in or around software or tech teams.
Responsibilities
Manage CEO’s calendar, meetings, and priorities to maximize executive efficiency
Act as liaison between CEO and internal/external stakeholders
Support day-to-day operations and company-wide task coordination
Own administrative workflows including HR documentation, internal processes, and follow-ups
Prepare presentations, reports, and proposals as needed
Track and maintain visibility on KPIs, project timelines, and execution risks
Assist in talent acquisition, onboarding, and internal communications
Handle confidential information with discretion
Keep the CEO focused on high-leverage work by filtering distractions and resolving blockers independently
Requirements
2+ years experience as Executive Assistant, Chief of Staff, or Operations Coordinator
Background or familiarity with the software industry or fast-moving tech environments
Excellent communication skills in English (written and verbal)
Exceptional organizational skills and a proactive mindset
Strong sense of accountability and high trustworthiness
Comfortable with tools like Google Workspace, Slack, Trello/Notion, Zoom
